How to Troubleshoot Missing WooCommerce Emails

By Benjamin Hall 3 min read

A missing WooCommerce email can mean several different things: the event did not trigger a message, WordPress could not hand it to a mail service, or the receiving provider accepted it and later filtered or rejected it. Checking these stages in order is faster than changing templates or repeatedly resending orders.

Identify which notification is missing

Start with one affected order and its current status. WooCommerce sends different notifications for events such as a new order, processing, completion, cancellation and a customer account action. A customer confirmation may be expected at a different point from the store's new-order alert. Password reset messages are generated by the account workflow rather than an order status change.

  • Check WooCommerce > Settings > Emails and confirm the relevant email is enabled, addressed correctly and using the expected recipient.
  • Open the order and confirm its status actually reached the event that should send the message.
  • Check whether a site extension, custom code or a status-management integration changes the normal trigger.

Separate a WordPress sending problem from delivery

Use an email log to see whether WordPress created the message and what happened when it handed the message to the configured mail transport. A missing log entry points toward a trigger, configuration or plugin-conflict issue. A failed entry points toward a WordPress, PHP or transport error. A successful handoff means the receiving mail server may have accepted the message; it is not proof that the email reached the inbox.

Check transport and domain authentication

  • Confirm the site is configured to use a reliable SMTP or transactional email provider, and check that its credentials and sending limits are valid.
  • Review the provider's event log for rejection, bounce, suppression or delivery status for the exact recipient and timestamp.
  • Ask the domain administrator to verify SPF and DKIM records and align the visible From domain with the sending service; DMARC policy can also affect acceptance.
  • Check spam, quarantine and mailbox rules, then test with an address at a second provider.

Test without risking duplicate customer emails

Reproduce the issue with a controlled test order or password reset, record the time and recipient, then compare the WooCommerce event, WordPress email log and provider event. On a staging copy, temporarily disable likely conflicts one at a time. Avoid resending live order emails until you have confirmed what was sent and checked the order state.

Track WordPress emails with Conobe Mail Logger Pro

Conobe Mail Logger Pro gives you a searchable record of email sent by WordPress, including message details and status. Filter the log to find failed messages, inspect the recipient and content, and resend only after checking the related order or account state. You can also export records and set a retention period for stored logs. These records help identify whether WordPress handed off a message; use your mail provider's delivery data to confirm what happened after that. Explore Conobe Mail Logger Pro to make troubleshooting missing WooCommerce emails easier.
